Hi there,

The latest Employer's Guide to Pay As You Earn in Kenya makes reference to three types of Tax Deductions Cards and how they are manually filled in. There is also a possibility for an employer or consultant to submit forms and have them approved. Does anybody know how this process works like what needs to be on the card etc. Maybe someone even has an example of an offical card? We are trying to produce these cards with a computerised system.

Welcome to the PayPerShop forum and thank you for your postings - visiting PAYE countries that we have not seen here before!

You have no doubt found the latest PAYE Guide at http://www.kra.go.ke/incometax/pdf/PAYE%20GUIDE%202006vers31%201%2006.pdf (I wish they wouldn't put spaces in urls) and I see that, despite a reference to samples of cards 9A, 9A(HOSP) and 9B appearings in the Appendices, they in fact do not.

The forms are, however, available on the KRA website, at http://www.revenue.go.ke/incometax/payeforms.html.

They are all dated 2005, so I presume they are still current. The guidance given in the 2006 PAYE Guide may give you a guide as to whether the forms have changed at all between 2005 and 2006.

Thanks, I found the form, what would be interesting to know is what are the requirements to submit your own forms and have them approved. From a software point of view it is easy to create the whole form instead of trying to use the manual forms and run them through a printer.

The Employer's Guide says:

2. EMPLOYER WISHING TO USE OWN TAX DEDUCTION CARDS
When an employer wishes to use his own tax deduction cards, he must apply to the Commissioner of Income Tax, Head Office, P.O. Box 30742, Nairobi, for approval. A fresh application is not required on an annual basis.

An employer may use tax deduction cards which are marketed by any Business consultant firm provided that the Commissioner's approval reference has been printed on the card. It is not therefore necessary for such employers to file separate applications to the Commissioner
.
